How do I access the pandemic influenza vaccination searches?
The Pandemic Flu searches are contained in the “EMIS Immunisation Searches” Folder in population manager.
These searches are to help practices find patients from three of the four groups who are recommended to have the Swine Flu Vaccination. Group 3 “household contacts of immune suppressed patients” is not included in these searches as it would have not have been possible to implement a reliable search of this nature into the EMIS system.
How do I access the DOH pandemic influenza Vaccination Reports?
The reports correspond to the data which is required by the immform website. The data is transmitted weekly via QFU (Q-Surveillance) if you are an LV practice with Q-Surveillance activated.
PCS practices need to manually add the data to the Immform Website although a development for PCS sites to transmit Immunisation data automatically is underway.
In the group named “Flu Risk Factor (Not vaccinated)” patients are showing who have had the vaccine.
This is a display error in the way the name of the search is displayed.
This search DOES include patients who have had the vaccine. It is there to display the group of patients requiring vaccination but does not exclude them once the vaccine has been provided.
Why are some patients showing as pregnant when they have had the baby?
These searches follow a specification which was provided to EMIS from PRIMIS.
The searches look for all codes relating to pregnancy and looks for the most recent. The most recent pregnancy code needs to be a delivery or termination code for the patient to no longer class as pregnant. Also patients with any pregnancy codes added after 1st October are included regardless of the latest pregnancy code.
The search operates the following way:
Find all Patients with a Pregnancy related code entered in their record since 1-4-2009
IF the latest is NOT an end of pregnancy code (delivery, termination. Miscarriage etc) THEN patient is pregnant
IF there are any pregnancy codes after the 1 October 2009, the patient will still class as pregnant despite any subsequent termination or delivery codes.

Therefore you need to ensure that anyone in the pregnancy list who you know is not pregnant has a code entered into their record that defines the end of a pregnancy. The recommended ones are
Why does the vaccination report have a section for “Given First Dose Only” and also a section for “Completed Course”? A large proportion of patients require one dose only so this description is misleading.
This is because all children aged between 0-16 yrs need 2 doses of Pandemerix given 3 weeks apart.
All adults and children who have egg allergies need to be given Celvapan which also given in 2 doses, 3 weeks apart, although all egg allergy patients will more than likely be referred to their local hospital for these.
The guidance that some patients only need 1 Panderix was introduced after the searches were authored. They will need changing as this is a change request logged to our development team.
EMIS have held off making these changes as we are still also awaiting further guidance regarding dosing for under fives.
Why do the age ranges in the population manager searches not correspond to the ages ranges required on the Immform website?
The data transmitted over QFLU (Q-Surveillance) from LV practices, does break the ages ranges down further, in order for the data to match the requirements on the Immform Website.
PCS practices do not currently have access to QFLU although an update for something similar is currently in development.
For PCS practices and LV practices not using Q-Surveillance, the data from population manager can be manually added to the Immform website, as at the moment the age range breakdown is preferred but is not a mandatory requirement.
Is the data transmitted over QFLU?
If you are an LV practice subscribed to Q-Surveillance, the data will be transmitted in the weekly trend report. The data transmitted weekly will correspond to the data in the “DOH vaccination report 2009/2010” as shown in figure 2 below.
This data is further broken down into more detailed ages ranges, when transmitted.
PCS sites do not currently have the facility to upload data via Q-Surveillance so will need to extract and report their data manually.
Are there any alerts for Swine Flu Vaccination required?
The Swine Flue vaccination searches do not correspond to alerts and so no alerts will automatically appear for the patients in these groups.
How often do the searches run?
The Pandemic Influenza Vaccination Searches will run on a daily basis on LV practices and PCS LAN practices, and weekly on PCS WAN practice.
The DOH Pandemic Searches run on a weekly basis on all practices.
